2.1 Scope

This Privacy Policy explains how Clanflare collects, uses, discloses, and safeguards “Personal Information” and “Sensitive Personal Data or Information” (SPDI) as defined under the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 ("IT Rules 2011").

2.2 Information We Collect

Account data: name, e‑mail, phone, company, designation.
Billing data: GSTIN, address, transaction IDs, partial card details (via compliant gateway).
Usage data: log files, IP address, device info, cookies, engagement metrics.
Content you upload: messages, media, profile images.

2.3 Purpose & Legal Basis

We process data to (a) provide and secure the Services; (b) improve features via analytics; (c) send transactional & marketing communication (with opt‑out); (d) comply with legal obligations.

2.4 Disclosure

We do not sell personal data. Data may be shared with (i) cloud infrastructure providers under contractual confidentiality; (ii) authorised payment processors; (iii) government agencies when legally required.

2.5 Security Practices

Clanflare implements ISO/IEC 27001‑aligned controls including encryption at rest & in transit, role‑based access, and regular vulnerability assessments.

2.6 Data Retention

Personal data is retained for the duration of the customer relationship plus up to 3 years, or as required by law, after which it is deleted or anonymised.

2.7 Your Rights

You may review, correct, or delete your personal data, withdraw consent, or request data portability by writing to our Grievance Officer.

We will acknowledge receipt of grievances within 48 hours and resolve them within 15 days.

2.9 Updates

We may amend this policy periodically. Continued use after changes constitutes acceptance.

3 Refund & Cancellation Policy

3.1 Subscriptions

Monthly plans: You may cancel at any time; service remains active until the current billing cycle ends. No refunds for partial months.
Annual plans: Full refund if cancelled within 14 days of initial payment and the SaaS dashboard shows < 5 % of allotted usage. Beyond 14 days, refunds are prorated minus a six‑month fee.

3.2 Managed‑Service Retainers

Cancellations require 30 days’ written notice. Pre‑paid retainers are non‑refundable but may be credited toward future Clanflare services within six months.

3.3 Add‑On Credits (Studio Renders, AI Calls)

Unused credits expire at the end of the subscription term and are non‑refundable.

3.4 How to Request a Refund

Email : with (i) invoice number, (ii) reason, and (iii) payment mode. Approved refunds are processed to the original payment method within 8‑10 Indian business days. GST collected is remitted to authorities and cannot be refunded once the return period lapses.
